Confirm the company scope
In Requirements explorer, confirm jurisdiction and business activities. Review each source and applicable role, then add selected requirements to a draft plan. A requirement can use external or offline evidence without a course. Only the owner signs the resulting plan. Published changes require review; signed plans remain intact.
Review proposed assignments
Open Assignments and choose Assign outstanding training. Approved plans, active onboarding packs and renewals prepare proposals. Approval rechecks active employment, applicability, course availability and storage. Free and private courses need approval. Paid assignments enroll only after payment succeeds. Defer to a date or dismiss with a reason. Missing hire or change dates need correction; the platform does not invent them.
Worth knowing
Creating a plan, activating a pack or sending a renewal reminder never enrolls an employee. Every proposed assignment requires a manager decision.
Review outside qualifications
An external qualification is proof of training somebody completed somewhere other than this platform: a first-aid certificate, a professional certification, or a course run by another provider or by your own trainers. Once it is accepted and linked to a requirement on your training plan, it counts towards that requirement the way a certificate issued here does, so nobody repeats training they can already prove, and its expiry is followed for renewal like any other. Certificates issued here need none of this: they are recorded the moment somebody passes.
Owners and company-authorized administrators upload PDF, JPEG or PNG evidence up to 10 MB in External qualifications. Select the employee and approved requirements. Record a known expiry, explicit non-expiring validity, or unknown validity. Unknown evidence cannot be accepted. Review and accept or reject the evidence. Replacement creates a new version; revocation stops that version satisfying requirements. Historical external-qualification exemptions need review and are not converted into credentials.
Renew and inspect
The owner configures renewal thresholds and responsible administrators in Workflow settings. The default windows are 90, 60 and 30 days; overdue work produces a weekly digest. Notifications use recorded email addresses and never enroll anyone. Failed deliveries remain visible.
In Inspection packages, choose period, departments, employees and requirements, then preview included records and gaps. Create a snapshot and generate its PDF index, CSV records, evidence files and JSON manifest inside a ZIP download. Missing evidence makes it incomplete. Identity evidence is excluded unless the owner explicitly includes it. Downloads require company access; there is no external invitation or anonymous sharing link. Regeneration creates a new snapshot.
When a decision is refused
If details changed, refresh proposals and review again. If storage is unavailable, reconnect it using storage help. Check the employee's active status, role and hire date. Accepted evidence needs verified validity and an available original file. Company administrators need access granted by the owner; only the owner can sign plans or include identity evidence.
